About the Scheduling Assistant position

We are looking for a reliable Scheduling Assistant who will undertake a broad set of administrative and clerical tasks, such as providing support to our managers and employees, running reports, and managing schedules.

You should have excellent oral and written communication skills and be able to organize their work using tools, like Microsoft Office. It is also desired to have previous experience as a Scheduling Coordinator or Administrative Assistant and familiarity within the medical field.

Scheduling Assistant responsibilities are:

  • Manage phone calls and correspondence (including email, memos, letters, faxes and forms) related to scheduling
  • Participate in the preparation of regularly scheduled reports
  • Maintain accurate logs for audits
  • Maintenance of communication channels
  • Support flow of scheduling processes for clients and staff
  • Collaborate with the administrative teams to handle requests and queries from senior managers
  • Other duties as assigned

Scheduling Assistant requirements are:

  • Fluent with Microsoft Office Suite including Excel, Teams and Copilot
  • Strong time management and problem solving skills with the ability to prioritize work
  • Outstanding written and verbal communication skills, with close attention to detail
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative Assistant or Scheduling Coordinator will be a bonus
  • Bilingual is an asset
